Standing requirements, and staff roles
A rule that says everybody, or every fire marshal, keeps itself met as people arrive and leave.

A list of names is true on the day it is written. A rule outlives the people it was written about. This page is about writing rules instead of lists.
Staff roles
Staff roles is what people do: Designated Safeguarding Lead, deputy DSL, fire marshal, first aider, EYFS practitioner, educational visits coordinator.
They are deliberately not permission roles. A School Business Manager can also be a fire marshal; a fire marshal has no business in the finance pages. Keeping them apart is what lets the compliance matrix name the fire marshals without anybody having to choose between naming them and giving them the keys.
City Council publishes a set of roles every school can use, which is why there are not forty spellings of "Designated Safeguarding Lead" across the borough. Your school can add its own alongside them.
Standing requirements
Training requirements is where you say what training is required, of whom. Two shapes:
- Of everybody at this school. Safeguarding induction, data protection.
- Of whoever holds a staff role. Every fire marshal, every first aider.
You also say how often it has to be done again, if it does.
What the rule does on its own
A job runs nightly and makes whatever assignments the rules imply. So:
- Somebody who joins in October is assigned the induction module without anybody opening a form.
- Somebody made a fire marshal in March is assigned the fire training that week.
- Anything approaching its expiry is renewed up to sixty days early, so nobody is surprised by it.
Two details worth knowing
A renewal supersedes rather than cancels. When a requirement comes round again, the previous assignment is marked as superseded, not cancelled. In a school's own history "cancelled" reads as somebody having decided it was not needed, which is the opposite of what happened.
A completion is reopened when it lapses, not when the renewal is made. The renewal is made early so it is not a surprise; if the completion were reopened at that moment, somebody would show as not started while still holding a certificate they were entitled to show an inspector for another eight weeks.
Retiring a requirement
Retiring one stops it making new assignments. It does not erase what people have already done, and it does not withdraw outstanding assignments unless you withdraw them.
