Adding a colleague

Adding somebody takes about a minute and nobody at City Council is involved at any point. This is the clearest example of what the whole site is for.

Inviting

1. Go to Invite a colleague.
2. Give their name and their work email address.
3. Choose their role: School Staff for nearly everybody, School Admin for somebody who will run this side of things.
4. Set what they may do: booking training, committing spend, and a cap if they have the second. See permissions and spending caps.
5. Send it.

An email arrives with a one-use link. They choose their own password, and they are working. You are not told their password and you cannot see it, which is the point of doing it this way rather than creating an account and telling them what it is.

Their own address

Invite the person, not the post. A shared office address used by four people makes the activity log say "the office" did everything, makes a certificate belong to nobody, and means the day one of the four leaves you have to change a password four people know.

Before it is accepted

An invitation sits on the people page until it is used, and you can:

• Send it again, if it has expired or gone to junk.
• Withdraw it, if it went to the wrong address or the person never started. The link stops working immediately.

Changing your mind afterwards

Everything you set at the invitation can be changed later from the person's own page: the role, the two permissions, the cap. Nothing has to be right first time and nothing needs the account rebuilding.

How many

There is no licence count and no charge per account. Give an account to anybody who needs to look at something, and keep the permissions narrow: the cost of an extra reader is nothing, and the cost of somebody sharing a login because they were not given one is real.

Somebody who already has an account

Where a colleague already has an account at another school in the borough — a shared SENCo, somebody who has moved — inviting the same address adds them to your school. Their training record comes with them, which is the whole reason the record follows the person. See your own training record.
