The export, the PDF and the certificate, and what each of the three actually proves.

Three things this site produces, and what each of them actually proves. Knowing the difference matters when somebody asks for "the training records" and means one of them in particular.

The compliance PDF

The compliance PDF is the whole matrix on paper: who, what is required of them, and whether each is in date on the day you printed it.

It answers the question an inspector actually asks — is your safeguarding training current across your staff — and it answers it in one page rather than in a folder. It carries the date it was produced, which matters, because compliance is a statement about a moment.

The learning export

The learning CSV is the working document: every assignment, who it was for, the deadline, and how far each person got. Open it in a spreadsheet, sort by state, and it becomes an action list.

Use this one for governors and for your own preparation. It shows the process, including what is outstanding, which is the honest picture and the one worth having a fortnight before an inspection rather than during it.

Individual certificates

Each person's certificates are on their own learning record, with a printable version of the whole thing. A certificate carries a reference that can be checked from this site, so it stands up outside your school in a way a screenshot does not.

Use these when somebody wants proof about one named person — a new DSL, somebody whose qualification is being questioned — rather than about the school.

What makes it credible

None of it is typed by hand. A completion is recorded when somebody completes something, the expiry is stamped at that moment from the module as it stood, and the assignments come from standing rules rather than from a list somebody keeps. A record nobody could have edited to look better is worth more than one they could.

Producing it in advance

Run the PDF at the start of each term and keep it. It takes ten seconds, and a dated series of them is a much better answer to "how do you keep on top of this" than one printed the morning somebody arrives.
