Every per-pupil price comes from this one number, and changing it never re-prices a live contract.

The number on roll is one figure, held on your school's details, and every per-pupil price on this site is worked out from it.
Why the school sets it
Because the school knows it. The alternative — somebody at City Council keying forty numbers each September from a return that arrived at different times from different schools — is how a school ends up paying against last year's roll and finding out in November.
The September prompt
Once the academic year begins, your dashboard asks a School Admin to confirm the roll if it has not been confirmed since. It is one button if the figure is still right, or an edit if it is not.
Confirming without changing is a real action and worth doing: it is the difference between a figure that is right and a figure nobody has looked at.
A change applies forwards only
This is the part worth being clear about. Changing the roll never re-prices a contract you already hold. Something bought in September at last year's figure keeps that price for its term.
What a change affects is what you buy next, and the price offered at your next renewal. The form says so, because it is not guessable and getting it wrong in either direction leads somewhere unhelpful: a school afraid to correct a figure in case it triggers an adjustment, or a school expecting a refund that is not coming.
Which number
Use the figure your school would give on the census for the year the pricing applies to. Where a service is priced on a particular cohort rather than the whole school — a nursery, a sixth form — the item's own page says which figure it uses and shows the calculation with it in.
If a price still looks wrong
The catalogue page shows the arithmetic: the rate, the figure it was multiplied by, any floor or ceiling, and the result. Check the figure it used against what you expect. If it is right and the total still is not, ask in the help bubble from that page, so whoever answers is looking at the same calculation.
What is recorded
Every change is in your activity log with the old figure, the new one, who and when. That is what lets a question about an invoice in March be settled by looking rather than by remembering.
