Naming, substituting and cancelling a delegate

Swap somebody in at no cost, and see exactly what a cancellation charges before you confirm it.

Everything about a booking after it is made happens on your training page: naming the person going, swapping them, and cancelling.

Naming a delegate

A booking holds places, and a place with nobody named is still a real booking. Add the name any time up to the course. The person named gets the joining details, the calendar entry and, afterwards, the certificate, so it matters that it is their own account rather than a general office one.

Substituting somebody

Swapping one colleague for another is free and stays free right up to the day. Use it rather than cancelling and rebooking, which is not free and loses the place in between.

This is worth remembering when somebody drops out at short notice: the question to ask the staff room is "can anybody else go" before it is "how much to cancel". The cancellation screen says so too.

Cancelling

Each course carries its own cancellation policy, expressed in working days before it runs. When you cancel, the site works out what applies to your booking and shows it before you confirm: how many working days are left, what proportion is charged, and the figure in pounds.

You are never asked to confirm without that. The question on screen restates the consequence rather than asking whether you are sure — the number of places, the course, the date and the charge — because a question that only asks whether you are certain tells you nothing you did not already know.

Where the charge goes

A cancellation charge becomes a line against your school in the ordinary way and reaches the invoice with everything else. It is described on the order as a cancellation charge and names the booking, so it is recognisable in six months.

Some courses have no policy

Where City Council has set none, cancelling costs nothing and the screen says so plainly. Where a policy allows substitution — nearly all do — the screen says that too, beside the charge, at the moment it is useful.

If the course is cancelled

If City Council cancels, nothing is charged, everybody booked is told, and any waiting list goes with it. You do not have to do anything.

Who can do all this

Whoever made the booking, and anybody at your school with a School Admin account. A cancellation charge is a commitment of money, so it follows the same spending rules as any other: over a cap, it becomes a request rather than happening quietly.
