Renewals
The invitation arrives 60 days ahead with both prices on it, and the switch you set is the notice.
On this page
Renewals is where you decide what continues into the next academic year. It is a page of switches, and the switch is the notice: there is no form to send and no letter to write.
The invitation arrives 60 days ahead
Sixty days before an agreement ends, an invitation reaches your School Admins. It carries both prices: what you paid this year and what next year costs, net, VAT and gross. That comparison is on the page rather than something you have to work out, because "it has gone up" is the first thing anybody wants to know.
Deciding
Each agreement has three states on the page:
| State | What it means |
|---|---|
| Not decided | Where everything starts. The page says what happens if you leave it, and by when. |
| Renewing | It continues into next year at the price shown. |
| Declining | It ends on its end date and is not renewed. |
Setting a switch is the decision. Nothing else happens, nobody has to acknowledge it, and there is no covering email to send. That is the point: the old way of doing this ended with a school that had cancelled in June still being invoiced in September because a message went to somebody on leave.
What declining actually does
It really declines it. The agreement ends on its end date, it is not included in next year's billing, and anything it entitled you to stops with it — reserved guidance, included e-learning, days you had not used. The page says all of that beside the switch, naming the service and the date, before you set it.
The deadline
Every renewal has a date after which the decision is final, shown on the page as a countdown rather than as a date you have to compare with today. Before it, you can change your mind as often as you like. See changing your mind about a renewal.
If you do nothing
What happens is stated on the page for each agreement, because it differs: some continue by default and some lapse. Reading it is worth the thirty seconds, and a decision recorded either way is better than a default nobody chose.
Who can decide
A School Admin. Renewing commits money, so it follows the same spending rules as anything else. The alerts go to every School Admin rather than to one person, so a renewal cannot be missed because of one holiday.
Getting a better answer than yes or no
If what you want is less of something rather than none of it, say so in the help bubble before the deadline. A service area can often propose a smaller package, which arrives on your proposals page to accept or decline.
Not what you were after?
Ask City Council in the bubble at the corner of any page, or open your help conversation in full. It is one conversation that never closes, so there is nothing to raise and no subject line to invent.
